Senior Administrative Associate, University Marketing and Communication
The University of Southern Indiana (USI) is seeking a full-time, benefit-eligible Senior Administrative Associate for the University Marketing and Communication department. This position will work independently to achieve University Marketing and Communication-related projects and events, provide administrative and technical support on special projects, especially related to External Sponsorships, by prioritizing and coordinating tasks, projects and appointments.
Responsibilities include but are not limited to:
- Coordinates and manages content for Commencement website. Ensures design and preparation of Commencement program for Spring and Fall Commencement Exercises in collaboration with Associate Director University Brand and Special Projects, University Creative and Print and Commencement Committee.
- Responsible for coordinating contact with Commencement speakers, honorary degree recipients and President’s medalist in arranging for Commencement activities including logistics, preparation of special letters and certificates and other ceremonial requirements.
- Serves as primary University contact for graduates, corresponding all pertinent deadlines regarding participation reservation and general questions regarding Commencement including day-of information.
- Attends and works all Commencement ceremonies.
- Assists in planning and implementing University-related events including groundbreakings, ribbon cuttings, anniversary celebrations, inaugurations and other events organized by University Marketing and Communication. Assists with planning campus-wide events; maintains guest lists, places requisitions for all print materials and giveaway items.
- Provides comprehensive administrative and operational support to University Marketing and Communication including help with University Marketing Strategy, University Web and Digital Content, Athletic Marketing and Fan Engagement and Athletic Communications.
- Monitor and maintain budgetary information and prepare specialized reports; process travel authorizations and reimbursements; and serve as primary point of contact for University Marketing and Communication.
- Submit monthly payroll recaps for all University Marketing and Communication salaried employees and maintains current spreadsheet of each employees’ vacation, sick and family sick bank hours.
- Performs related responsibilities and duties as otherwise assigned.
Essential Knowledge and Skills:
- Minimum of three years of experience in office or project management, hospitality, special event planning, marketing and/or communications or other related area required. Associate degree or equivalent combination of relevant experience and/or college coursework required. Bachelor’s degree preferred.
- Expertise in the use of office technology, including Microsoft Suite (Word, Excel and PowerPoint); Internet; Teams/Zoom; and email with ability to learn, understand and use relevant elements of the University’s database systems (i.e., Buy USI, Banner, etc.) and website.
- Strong active listening and clear, specific oral communication skills required. Must also possess effective, detail-oriented written communication skills appropriate for audiences ranging from executive event sponsors to internal support staff.
- Must possess a high level of attention to detail and have expertise in editing and creating written material.
- Ability to work independently with limited supervision exercising initiative and sound judgment with full confidence of actions taken.
- Demonstrated ability to work effectively in a team-based environment.
- Refined organizational and time management skills with the ability to reset priorities as needed and to meet multiple, sometimes conflicting, deadlines required.
