General Purpose/Job Summary
The Executive Administrative Assistant aids in the effectiveness of the Executive Leadership Team by providing information management and aiding in executive and other administrative tasks.
Essential Functions/Responsibilities
- Collect and prepare information to use in discussions/meetings of management staff and outside individuals
- Maintain executives’ appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel
- Coordinate and manage travel arrangements, as needed
- Coordinate participation and logistics for specific events including executive meetings, corporate events, and community functions
- Assist with presentation creation such as Share the Vision, Digital Signage, and HR Connect
- Assist with completing new hire and termination checklists
- Assist with managing company programs such as anniversary gifts, apparel, wellness, and safety
- Plan, organize, and execute projects as needed
- Assist, as needed, with corporate administrative tasks such as answering telephones, greeting clients, filing, mail, and other miscellaneous duties
- Maintain a professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies
- Handle details of a highly confidential and critical nature; interact comfortably and skillfully with senior level executives and associates within and outside the company
- Resolve time sensitive issues with a high degree of precisions and exhibit strong organizational, written and verbal communication skills
- Work a minimum of 40 hours per week, with hours periodically scheduled before and after standard business hours and/or weekends

- Communication proficiency and professionalism both written and verbal
- Demonstrated proficiency in grammar, spelling, punctuation, and excellent oral communications
- Demonstrated proficiency in Microsoft Office including Word, Excel, PowerPoint, and Outlook

Required Education, Training, and/or Experience
- 3+ years of experience in an administrative role
